Receptionist

Tasks:
Overall responsibility: To be responsible for all activities related to hospitability and receptionist area. Support actively the HR functions at the company.
  • responsible for the receptionist area
  • receive and manage calls
  • responsible for meeting room preparation
  • responsible for the kitchen preparation
  • manage for company car according to the policy
  • responsible for guests – entry policy must be followed by them, welcome them in the receptionist area and register them
  • pay attention of the guests – do not walk alone in the company
  • responsible for hospitability (hotel reservations etc.)
  • responsible for ordering the office supplies to the different departments
  • manage safety procedure in case of emergency
  • general HR responsibilities
  • manage time data misalignments in the system
  • record badges in the system
  • organize trainings according to the needs of the single department
  • manage the doctor’s examination, working clothes etc.
  • responsible for continuous support of HR with various reports (record different statistics like , badges, etc.)
  • other responsibilities
  • responsible for supporting the continuous communication of the company (Support the group with translation, put posters in production area or common places, etc.)
  • participate in ad hoc tasks together with the department, in accordance with HR
  • organize meetings
  • organize trips and visits
  • continuously maintain the actual policies in her/his field
  • internal External Relationships
  • the job has relations with all internal departments locally; however, a strong relation with the local HR dept., is required
  • the job also requires relationship with external parties:
  • contact person between the company and the external parties like: lawyer, security and ad hoc cases (police, firefighters or anyone who calls directly the company)
  • contact person for customers and suppliers with reference to general topics as a first contact of the company in case of direct calls or as guests
Requirements:
  • the Job requires not only big empathy with people (mainly our colleagues) but high attention to details, combined with the ability to work in a changing environment as part of a company that is growing in size and complexity. Further, it requires a personal drive to make changes and being motivated by challenges.
  • fluent in English (written and spoken)
  • basic in Italian (written and spoken) as an advantage
  • have a BA/BSc.
  • have 3+ years’ of relevant working experience as Receptionist in an international company or a hotel; or
  • have 3+ years’ of relevant working experience as HR officer in an international company.
  • ability to support other department working alone physically.
  • familiarity with Microsoft office
